Your Opportunity

Our Water group is looking for an Administrative Assistant to provide timely, accurate, and professional support in keeping with Stantec's high standards.

Your Key Responsibilities

  • Provide professional administrative, marketing, operational and project related assistance to the Management Team within the Water group
  • Perform general office duties including, but not limited to: creating, proofreading and formatting correspondence/reports, use of company templates and ability to customize them for a particular use if needed, assisting with proposal preparation, coordinating travel arrangements, scheduling meetings, organizing/maintaining office files, processing and preparing submittal packages
  • Performing/supporting project file audits
  • Maintaining a well-organized electronic and paper filing system and overall record management
  • Manage proposal pursuit information on the company Pipeline
  • Adding and updating resumes on the internal company directory
  • Project archiving/Records Management
  • Ordering of marketing materials and office supplies
  • Maintain and track active/closed project and proposal listings
  • Onboarding and administrative training of new staff
  • IT equipment and software purchases and arrangements
  • Expense claim and timecard support

Your Capabilities and Credentials

  • Must possess strong organizational skills and experience with implementing process improvements for different administrative and operational tasks in the office
  • Must possess excellent time management skills and be able to prioritize to meet tight deadlines
  • Anticipate administrative needs of a busy group of staff and bring a sense of positive energy into the work environment
  • Strong knowledge of office procedures and practices, with high proficiency in MS office including Word, Excel, Outlook, and Adobe
  • Keen attention to detail with experience in creating, proofreading and editing documents
  • Ability to work with initiative, professionalism, and confidentiality, and able to work independently, multi-task and adapt to change in a very dynamic environment
  • General interest/knowledge in civil design & construction is considered an asset
Education and Experience

Minimum 5-7 years? administrative, project coordination and/or professional writing/office experience. Associate or undergraduate degree in English, communications, marketing or similar experience. Experience in the consulting industry a plus.
